1. Who We Are

ServiceHQ ("ServiceHQ," "we," "us," or "our") operates the platform available at servicehq.co and related subdomains. ServiceHQ is an all-in-one business management platform for home services professionals, including AI-assisted lead response, job management, invoicing, and marketing tools.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, business name, trade category, and password. For paid plans, billing information is collected and processed by Stripe — we do not store full payment card numbers.

2.2 Business Configuration

Information you provide to configure your AI agent and storefront, including service descriptions, pricing guidelines, service area, hours of operation, license numbers, photos, and other business details you enter into the platform.

2.3 Customer and Lead Data

When leads contact your business through ServiceHQ channels (SMS, email, storefront), we collect and store their name, phone number, email address, and the content of their messages on your behalf. This data belongs to you (the service professional) and is processed under your instructions.

2.4 Communications

All SMS messages and emails sent or received through the platform are stored to provide conversation history, AI context, and audit trails. Message content may be processed by our AI provider (Anthropic) to generate responses.

2.5 Usage and Technical Data

We automatically collect IP addresses, browser type, device identifiers, pages visited, features used, and timestamps. This data is used to operate and improve the service.

3. How We Use Your Information

  • To provide, operate, and improve the ServiceHQ platform
  • To power AI-assisted lead response on your behalf, using Anthropic's Claude API
  • To send transactional SMS messages (via Twilio) and emails (via Resend) as directed by you or your customers
  • To process payments and create invoices through Stripe
  • To sync calendar data with Google Calendar when you authorize that integration
  • To send you product updates, billing notifications, and support communications
  • To detect and prevent fraud, abuse, and violations of our Terms of Service
  • To comply with legal obligations

We do not sell your personal information or your customers' personal information to third parties.

4. AI Processing

ServiceHQ uses Anthropic's Claude API to power the AI lead response agent ("Aria"). When your AI agent responds to a lead, the lead's message and relevant business context are sent to Anthropic for processing. Anthropic's use of this data is governed by their Privacy Policy. We do not use your customer data to train AI models.

AI-generated responses are sent on your behalf. You are responsible for reviewing your AI agent's configuration and ensuring responses are accurate for your business.

6. SMS Communications & TCPA

ServiceHQ sends SMS messages on behalf of service professionals to their customers. By using ServiceHQ's SMS features, you (the service professional) represent that you have obtained appropriate consent from your customers to receive SMS communications, as required by the Telephone Consumer Protection Act (TCPA) and applicable regulations.

Message and data rates may apply to end recipients. Customers can opt out of SMS by replying STOP. For help, they can reply HELP.

7. Data Retention

We retain your account data for as long as your account is active. If you cancel, we retain data for 90 days to allow for account recovery, then delete it. Lead and customer data is retained until you delete it or close your account. Billing records are retained for 7 years as required by law.

8. Your Rights

Depending on where you live, you may have the following rights regarding your personal information:

  • Access: Request a copy of data we hold about you
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your data (subject to legal retention requirements)
  • Portability: Request your data in a machine-readable format
  • Opt-out: Opt out of marketing emails at any time via the unsubscribe link

California residents have additional rights under the CCPA, including the right to know what personal information is collected and the right to non-discrimination for exercising their privacy rights.

9. Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, row-level security in our database, and regular security reviews. However, no system is completely secure. You are responsible for maintaining the confidentiality of your account credentials.

10. Children's Privacy

ServiceHQ is a business tool intended for adults 18 and older. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes by email or via an in-app notice at least 14 days before they take effect. Your continued use of the platform after changes take effect constitutes acceptance of the updated policy.
